Who is responsible

What we collect and why

When you email us, we receive your address, message and any information you choose to include so we can answer your enquiry or discuss a possible review, pilot or partnership. The Web Pilot uses individual access codes and records reviewer identity, Cases, text and uploaded evidence, actions and analysis so invited users can test decision support. The feedback form records your reviewer identifier, answers, submission time and your email only if you choose to provide it for a follow-up discussion. Hosting services may also process technical connection and security logs.

We process enquiries, access control, Cases and feedback for the legitimate interests of developing and evaluating Rabbit Opt, responding to contacts and securing the pilot. Where an individual has agreed to a specific follow-up, we use their supplied email for that conversation. We do not use feedback email addresses for marketing.

Who receives data

Hosting and email providers process information needed to run the site, pilot and mailbox. The Web Pilot uses OpenAI services to analyse Case information, which may include text or extracts of uploaded evidence. The pilot administrator can read submitted feedback. We may share limited information with a reviewer or partner only where this is necessary for the agreed work or required by law. Please do not enter confidential, sensitive or third-party personal information unless you are authorised to use it for this pilot.

Retention and your choices

We keep correspondence while the enquiry or relationship is active and review it afterwards. We keep pilot Cases and feedback while they are needed for controlled evaluation and review them when the pilot ends; material no longer required for that purpose is deleted or anonymised. Some records may need to be retained longer where a legal obligation applies. There is currently no automatic seven-day expiry. You can ask us what we hold, request correction or deletion, or object to processing by emailing the address above. Some rights depend on the circumstances. You may also raise a concern with the UK Information Commissioner’s Office.
